These Terms and Conditions govern your use of IndyBus services, including charter bus rental, mini bus rental, Mercedes Sprinter van rental, party bus rental, and group transportation services throughout Indianapolis and Central Indiana.
Welcome to IndyBus. These Terms and Conditions ("Terms," "Agreement") constitute a legally binding agreement between you ("Customer," "you," "your") and IndyBus LLC ("IndyBus," "we," "us," "our"), an Indiana limited liability company operating at 180 N US Highway 31, Whiteland, IN 46184.
By accessing our website at indybus.com, submitting a quote request, booking our charter bus services, or using any of our transportation services, you acknowledge that you have read, understood, and agree to be bound by these Terms.
If you do not agree with these Terms, please do not use our website or services. We reserve the right to update or modify these Terms at any time without prior notice. Continued use of our services after changes constitutes acceptance of the updated Terms.

Some services may be provided through our trusted partner network of licensed transportation companies. We coordinate all aspects of your transportation experience and maintain quality standards across all vehicles.
Quote requests can be submitted via our website, by phone at (463) 777-1504, or by email at info@indybus.com. Quotes are typically provided within 1-2 hours during business hours. All quotes are valid for 7 days unless otherwise specified.

Quotes include vehicle, professional chauffeur, fuel, and standard insurance coverage. Quotes do not include driver gratuity (industry standard 15-20%), parking fees at certain venues, tolls, or applicable taxes unless specifically noted.
A non-refundable deposit is required to confirm and secure your booking:

Remaining balance is due before service begins, unless other arrangements have been made (such as Net 30 corporate billing). Accepted payment methods include credit cards (Visa, Mastercard, American Express, Discover), ACH transfer, business checks (with advance approval), and corporate purchase orders.
Net 30 billing terms available for qualified corporate accounts with established credit. Corporate accounts require completed credit application, certificate of insurance verification, and signed master service agreement.
Service is provided for the contracted time period. Overtime is charged in 30-minute or 1-hour increments at the published hourly rate. Overtime applies when:
Cancellation fees apply based on the timeline below. Deposits are non-refundable but may be applied to future bookings within 12 months at our discretion.

For peak season and special event bookings (Indy 500 weekend, New Year's Eve, Halloween, NCAA Final Four, FDIC), cancellation deadlines may be extended:
If the customer causes significant delays, no-shows, or trip cancellation on the day of service, the full contracted amount applies plus any overtime charges incurred.
All cancellations must be made in writing via email to info@indybus.com. Phone cancellations require written follow-up. Cancellation time is determined by when written notice is received during business hours.
We accommodate trip changes when possible, subject to vehicle availability and operational feasibility. Changes that may incur additional fees include:
Changes requested within 7 days of service may not be possible or may incur additional charges. Submit change requests in writing as early as possible.
IndyBus reserves the right to substitute the contracted vehicle with another vehicle of equal or greater capacity in cases of mechanical failure, accident, or other operational necessity. We will make reasonable efforts to provide an equivalent or upgraded vehicle at no additional charge.
Note: Vehicle interior amenities (LED lighting, sound systems, etc.) may vary between similar vehicles. We will confirm exact vehicle specifications and amenities at booking.
The Customer is responsible for the conduct of all passengers during service. We expect respectful, lawful behavior from all passengers throughout the trip.
Adult passengers (21 years of age or older with valid ID) may consume alcohol on party bus and certain other vehicle rentals. Alcohol consumption rules:
NO SMOKING: Smoking, vaping, and use of tobacco products is strictly prohibited in all IndyBus vehicles. Violations result in immediate service termination and a $500 cleaning fee.
Illegal drug use, illegal activity, and any conduct that endangers passengers, the chauffeur, or the vehicle is strictly prohibited and grounds for immediate service termination without refund.
Maximum passenger capacity stated for each vehicle must not be exceeded. Drivers will refuse to transport groups exceeding legal capacity for safety reasons.
IndyBus and its chauffeurs reserve the right to terminate service for safety, legal, or behavioral reasons. In cases of service termination due to passenger misconduct, no refund will be provided.
The Customer is responsible for any damage to the vehicle caused by passengers during service, including but not limited to:
Standard cleaning is included in service pricing. Additional cleaning fees apply for:

Damage charges are calculated based on actual repair or replacement costs. Estimates are provided when possible. The Customer authorizes IndyBus to charge the credit card on file for damage and cleaning fees.
IndyBus is not responsible for items lost or left in vehicles. Drivers conduct walkthrough after service to check for items. If items are found, we make reasonable efforts to contact the Customer. Items are held for 30 days, after which they may be disposed of. Shipping costs for returning items are the Customer's responsibility.
IndyBus shall not be liable for failure or delay in service due to circumstances beyond our reasonable control, including but not limited to:
Indiana weather can be unpredictable. We monitor weather conditions and may delay or modify service for safety. In severe weather:
While we plan routes carefully and account for typical traffic, unexpected delays may occur. We are not liable for delays caused by traffic, road conditions, accidents on the route, or other factors outside our control. We recommend allowing buffer time for important arrivals (flights, weddings, time-sensitive events).
IndyBus maintains commercial liability insurance meeting Indiana state requirements and Fortune 500 corporate vendor standards. Certificates of insurance are available upon request for venues, corporate accounts, and other parties requiring documentation.
To the maximum extent permitted by law, IndyBus's total liability for any claim arising from or related to our services is limited to the amount paid by the Customer for the specific service that gave rise to the claim.

These Terms are governed by the laws of the State of Indiana, without regard to conflict of law principles. Any legal action arising from these Terms or our services shall be brought in the state or federal courts located in Johnson County or Marion County, Indiana.
If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
